AHU Indonesia: Find the Right Company Filing or Legal Record Service

Choose a service by the legal output, entity category and evidence you actually need.

AHU Indonesia provides several legal administration services, so start by deciding whether you need to change a company’s official position or obtain information already recorded. Those tasks require different instructions and completion evidence. An AHU result also does not, by itself, establish that a business has every permission needed to operate. Identify the entity and requested document before choosing a menu or appointing a provider.

Key takeaways

  • A search request and a filing instruction have different consequences; keep authority to change records explicit.
  • The legal form controls the service family, even when two businesses use similar names.
  • Define the expected official output before accepting a provider’s deliverable list.
  • Keep AHU evidence, OSS licensing status and a recipient’s acceptance requirements separate.

Choose the AHU service by the output you need

Choose the route that produces the output your transaction needs. The official AHU service catalogue separates company, individual-company, CV, Firma and beneficial-owner services. Its wider legal services are not interchangeable company-registration products.

Your intended result AHU route to assess Completion evidence to request
Create an ordinary PT PT establishment / legal-entity approval Deed and establishment approval decision
Record a corporate change PT amendment approval or notification, as applicable Relevant decision or receipt of notification
Inspect existing company particulars Perseroan company-profile search The requested profile, with retrieval date
Inspect reported beneficial ownership Pemilik Manfaat search Reported BO result for the identified corporation
Find an individual company or non-PT record The matching entity-specific service Record belonging to that legal category

Treat the last column as an instruction to agree with the person doing the work, rather than a promise that every document is public or immediately downloadable. A profile purchase does not submit a corporate change. If the request concerns business licensing, first establish whether the underlying legal-entity data needs correction or the task belongs in OSS.

Start with the result you need

Describe the document or legal change you need so the AHU route can be scoped before work begins.

Match the legal form before choosing a filing

Use the legal form in the existing deed or registration certificate, not a trading name. An ordinary Perseroan Terbatas (PT) and a Perseroan Perorangan have distinct routes. The latter is a company form for qualifying micro and small businesses; one shareholder alone does not settle eligibility. Minister of Law Regulation 49/2025 distinguishes the two forms and governs their establishment, changes and dissolution.

For an ordinary PT, establishment and change applications run through a notary using the Sistem Administrasi Badan Hukum (SABH). A service provider coordinating documents is not thereby the official applicant or decision-maker. For a new entity, company formation in Indonesia involves establishing the legal entity before treating its AHU output as part of the wider registration record.

For a CV, Firma, foundation or association, choose the corresponding category. Do not force a search into the PT menu because an English request loosely calls the organisation a “company”. Confirm the category before paying or authorizing a submission.

Choose between changing a record and reading one Identify the entity, then take the filing lane for a legal change or the retrieval lane for existing information. Agree the output before instructing work. Identify entity and intended output Change legal position Choose the filing route Read existing information Choose the record route Request decision or notification receipt Request identified record and retrieval date AHU evidence and OSS permissions remain separate checks
The requested result determines both the route and the evidence needed at handover.

Separate a company change from a record check

A company change requires the appropriate filing; buying another profile cannot repair the underlying record. Under Regulation 49/2025, some articles-of-association changes need approval, while other changes are notified. The notary should classify the event and identify the required supporting corporate documents before submission. Approval and notification receipts must be described accurately in the engagement scope.

First compare what the company intended, what its signed documents say and what AHU currently records. A new shareholder decision, an input error and an outdated copy are different problems. State the discrepancy without assuming that all three require the same amendment. Ask for the proposed correction route and its evidence before authorizing work.

Where OSS uses AHU as its legal-data source, the OSS business-entity data-change guidance shows old OSS data alongside the incoming AHU data. Identify the source first; update that source through the appropriate route, then reconcile OSS. Do not assume an AHU filing also completes the licensing update.

Specify the record your recipient will accept

Ask the bank, contracting party or adviser to name the record and acceptable format before you order it. A current profile, establishment approval and amendment notification serve different purposes. Specify whether the recipient needs the original Indonesian document, a translation, particular historical events or a record retrieved within a stated period. These are recipient acceptance conditions , separate from the legal filing requirement.

The AHU company-profile search expressly limits its online dataset and notes a manual request route for certain older PT records. A missing online result therefore needs an entity-and-coverage check before anyone concludes that the company does not exist. Preserve the exact name searched and the supporting deed or approval reference.

The public beneficial-owner search uses corporation type and registered name, omitting the entity prefix. Its notice says the information is submitted by reporting parties. Treat the result as reported information; it does not independently resolve an undisclosed ownership chain or a bank’s KYC decision.

At handover, matching AHU references to deeds and NIB helps distinguish a correctly identified output from a document belonging to a similar name. Keep the file, retrieval date and unresolved discrepancies together.

Resolve the evidence mismatch

Bring the requested record and the recipient’s requirements to a scope discussion before ordering duplicate work.

Check the provider’s scope before authorizing work

Choose a provider by a written deliverable and responsibility list, rather than the phrase “AHU service”. Identify who retrieves records, who prepares documents, which notary handles any filing, and who responds to a returned application. Record access limitations before sending identity documents or corporate information.

Request a quote that separates government charges, professional work, notarial work and translation or other third-party costs. Confirm tax treatment, exclusions, whether resubmissions cost extra and what happens if a record cannot be retrieved. These are commercial terms to agree, not a single statutory AHU package.

Tie timing to the actual task: locating a record, preparing a signed change and receiving an official outcome have different dependencies. Ask when the clock starts, which applicant documents remain outstanding, and what evidence will be supplied if work pauses. A payment receipt or submission reference should not be described as the final legal output.

Send an AHU instruction with a clear completion test

Send the registered name and legal form, existing deed or approval reference, intended result, recipient requirements and agreed output in one instruction. For a filing, identify the authorized applicant and completion document. For retrieval, identify the record, relevant date and limits of the search.

Pause if the proposed service changes company data when you only requested information, or supplies a profile when a legal change is required. Resolve the category or evidence mismatch before paying for a second task. Proceed when the route, scope and completion test all describe the same result.

Prepare a usable instruction

Set out the entity, authority, expected output and handover evidence for your proposed AHU task.

Frequently asked questions

Can a provider guarantee that a bank will accept an AHU record?

No. Agree the bank’s documentary requirements before ordering. A provider can deliver the agreed record; the bank retains its own acceptance and KYC decisions.

Should I send my account password to a record-search provider?

Define the access method and authorization first. Do not assume a retrieval instruction requires handing over company account credentials or authority to submit changes.

What should a “no result” search report contain?

Ask for the entity category, exact search name, date, coverage limitations and any manual-request action proposed. A bare screenshot without that context is a weak handover.

Can I order an English version for overseas use?

Confirm translation and any certification requirements with the receiving party. Include those services explicitly in the scope; an Indonesian record alone does not promise overseas acceptance.

What if my existing provider only offers a bundled service?

Ask for the requested output to be identified within the bundle, including exclusions and responsibility for follow-up. Compare the deliverable against your task before buying additional work.
