Registration evidence
Business Registration Certificates in Malaysia: Types and Uses
Choose a record by legal entity, the fact to be proved and the recipient’s required format.
The correct registration evidence in Malaysia depends on the legal entity and what the recipient needs to establish. An instruction to “upload your SSM certificate” may mean proof of formation, a current registry report or a certified copy. Confirm those details before buying a document: a certificate for the wrong entity, or an old record used to prove today’s particulars, can leave the request unanswered.
Key takeaways
- Clarify an instruction that says only “SSM certificate”; the recipient may need a particular document or certification format.
- Formation evidence and present ownership or management details answer different questions, so a recipient may need more than one record.
- Check expiry when reviewing a ROB business registration; a company incorporation notice serves a different legal function.
- Document authentication and the currency of registry information need separate checks.
- Keep the evidence of registration alongside any separately required activity or premises approvals.
Which registration document belongs to your entity?
Malaysia’s Companies Commission, Suruhanjaya Syarikat Malaysia (SSM), issues different evidence for registered businesses, companies and limited liability partnerships. Start with the entity’s registered name and number rather than the trading brand.
Sole proprietorship or ordinary partnership: ROB certificate
Under the Registration of Businesses (ROB) framework, Form D is the registration certificate and Form E is the renewal certificate. The official prescribed forms show the business name, number and the registration expiry date . Use the latest applicable record when the request concerns a registration that remains in force.
This SSM route covers Peninsular Malaysia and the Federal Territory of Labuan, as explained in SSM’s business-registration brochure . Do not assume the same certificate route covers a sole proprietorship registered under a different local regime.
Sdn. Bhd.: notice of registration and optional certificate
For company formation in Malaysia under the Companies Act 2016, section 15 provides for a notice of registration. Section 19 makes that notice conclusive evidence of due registration. A certificate of incorporation under section 17 is issued on application and payment of the prescribed fee; see sections 15–19 of the Act .
Buying the optional certificate does not create the company. Section 18 ties incorporation to the date stated in the notice. A recipient can still specify that it wants the certificate in its document checklist.
LLP or PLT: LLP registration evidence
For a limited liability partnership, SSM issues a notice of registration; a certificate of registration is available on request. The separate LLP Profile supplies registry particulars, including partners and compliance officers. These are LLP-specific products , so a company incorporation certificate is the wrong document for this entity.
Read the question behind a certificate request
Match the requested fact and format before assembling the file. The following matrix is a practical selection tool; it does not replace the recipient’s own acceptance criteria.
| Recipient’s question | Evidence to assemble | Check before sending |
|---|---|---|
| Was this Sdn. Bhd. incorporated? | Section 15 notice; section 17 certificate where specifically requested | Company name, number and incorporation date match the entity concerned |
| Who manages or owns the company now? | Recently retrieved Company Profile; specific statutory records if requested | Report date and relevant directors or shareholders; formation evidence alone leaves this question open |
| Is this ROB business registration current? | Latest registration or renewal certificate, supported by a Business Profile | Expiry, recorded status and owner details correspond to the business |
| Which partners or officers belong to this LLP? | LLP Profile alongside registration evidence where required | Correct LLP number and relevant partner or compliance-officer particulars |
| Is this copy authentic? | Digital Certified True Copy (DCTC) of the required record, where available | Verify the copy through SSM’s DCTC tools and compare the displayed record |
SSM describes its Company Profile as a current report covering company status, addresses, directors, shareholders and other recorded information. Its Business Profile includes business status, expiry and owner information. Choose the relevant report when the question concerns present particulars.
Digital certification adds a way to authenticate the copy. SSM’s DCTC Reader and Web Checker support that separate check. Formation, current particulars and copy authenticity therefore belong in distinct parts of your document review.
Obtain the record from the correct SSM channel
As at October 22, 2026, the retrieval route depends on the entity and product. Keep the legal name, registration number, requested document title and certification requirement together when ordering.
- For a newly approved ROB registration, access EzBiz through SSM4U. SSM allows the certificate and any purchased business information to be downloaded within 90 days after approval.
- For company formation evidence already issued, obtain the registration notice from the person who lodged the incorporation. For company certificates, profiles and statutory document images, SSM lists SSM e-Info, MYDATA-SSM, SSM Search and SSM SAFEDATA on its Company Information product page.
- For LLP profiles and registration certificates, follow the SSM4U route listed on SSM’s LLP Information product page. Keep the request with the LLP’s compliance officer if the original notice is needed.
The 90-day download window is stated in SSM’s EzBiz service information ; it does not describe the life of every registration. If that window has passed, use the copy-purchase channels on SSM’s Business Information page.
Identity and corporate-shareholder material are among the evidence supplied with an incorporation application . Retain these inputs separately from the notice or certificate showing that registration succeeded. A submitted application or payment receipt is not the final registration output.
Check authenticity, currency and mismatches separately
Apply separate checks for authenticity and currency . A verified historic copy may be genuine while failing to establish the latest particulars the recipient asked for.
- Authenticate a DCTC through the QR reader in MySSM or the Web Checker accessed through SSM4U. The Web Checker uses the document’s serial number. Follow SSM’s DCTC verification instructions and compare the displayed document with the copy supplied.
- Check the profile’s generation date and the relevant particulars. A registry report reflects recorded information; investigate discrepancies with the company secretary, business owner or LLP compliance officer before relying on it.
- Reconcile the legal name and registration number across the request and documents. For a company name change, SSM’s Company Information catalogue also provides name-change evidence. Pair the relevant record with the current profile rather than editing an old certificate.
If a DCTC check reports an invalid record or an unavailable document, preserve the serial number and message and seek clarification from SSM. Its manual distinguishes these outcomes. Do not treat an unreadable scan as proof of authenticity, or assume every verification problem proves fraud.
Keep registration evidence separate from operating approvals
An SSM registration record establishes a registration fact. It does not establish that every proposed activity or premises has the necessary permissions. The ROB certificate forms themselves tell owners to obtain applicable licences, permits or approvals even after business registration.
When a customer or authority asks whether the business may conduct a particular activity, identify that activity and location before choosing evidence. The MalaysiaBiz licensing search uses activity and state, city or district to identify relevant licensing information. A search result helps locate the requirement; the approval must still come from the responsible authority.
Keep a licence request in a separate part of the file. Supplying more copies of an incorporation certificate cannot resolve a missing premises approval or an unanswered activity-licensing requirement.
Send the certificate that answers the request
Your file is ready to send when the entity matches, the selected document establishes the requested fact, and the format and age meet the recipient’s stated requirements. Retain the original downloaded file, supporting current report where needed and the result of any DCTC check.
If one of those conditions remains unclear, resolve that particular gap before ordering another product. An unspecified “SSM certificate” request needs clarification; conflicting registry particulars need reconciliation; a permission-to-operate question needs the applicable approval evidence.
Frequently asked questions
Can I obtain a ROB certificate in English?
SSM’s Business Information catalogue offers copies in Malay and English. Confirm the recipient’s language requirement before ordering; availability in English does not establish that every recipient will accept the same format.
Does buying another certificate give the company a new incorporation date?
No. The incorporation date is the date established by the registration process. A later purchase or download supplies a document relating to that registration; it does not incorporate the company again.
What if an upload field accepts only a “certificate”?
Ask the recipient to identify the statutory document and certification format it accepts. If it requires the optional company certificate, obtain that product. Do not rename a registration notice to make it appear to be a different document.
What should I do when a checklist says “Form 9”?
Ask the recipient to confirm the current document it needs. For a new Sdn. Bhd., use the Companies Act 2016 notice and certificate terminology explained above rather than treating the checklist label as a universal document requirement.
Does a verified DCTC prove the person contacting me represents the business?
Document verification authenticates the record being checked. A person’s authority to act for the entity is a separate question; obtain the relevant authority evidence for the transaction.
