COMPANY RECORDS AND ADDRESS CONTROL

Indonesia Company Address Requirements: What Must the Registration Records Show?

Decide which address belongs in each record before treating a difference as an error.

For an Indonesian limited liability company (PT), including a foreign investment company (PT PMA), the corporate records must identify its legal domicile and corresponding complete company address. A city or regency alone is not the complete address. OSS activity locations and tax address records serve additional purposes; they should describe the relevant facts rather than automatically repeat a mail-receiving office.

Compare addresses by purpose and physical place before filing. The corporate rule comes from Articles 5, 17 and 29 of the Company Law ; the practical task is to establish whether each difference is justified, outdated or wrong.

Key takeaways

  • The company domicile and the detailed address are different levels of information; retain both in the filing pack.
  • An OSS address correction and a move to another operating site require different assessments.
  • Tax registration follows its own factual rules, so a corporate address entry cannot settle every tax-address question.
  • Compare the same location across records, while explaining genuinely separate offices and business places.
  • Keep the accepted record and supporting evidence together; a submission screenshot alone does not establish completion.

Read the corporate record at two address levels

The articles of association identify the PT domicile at city or regency level. The company also needs a complete address corresponding to that domicile, and the company register records both. Article 5 additionally requires the company name and complete address on its correspondence, published announcements, printed materials and deeds to which it is a party. These are corporate requirements, rather than terms created by an office provider.

The AHU incorporation guide lists the company address, RT and RW neighbourhood identifiers, province, city or regency, district, village or urban village, and postal code, alongside contact details. Use the actual address components needed to identify the premises, including the building and unit where relevant. Legal domicile should not be confused with a shortened street-address label.

When preparing the entity documents for company formation in Indonesia , separate the address wording in the articles from the detailed data supplied to AHU, the Directorate General of General Legal Administration. Ask the filing notary to show you the relevant fields before authorising submission. Check the latest corporate data as well as the deed; an old incorporation document may no longer describe the current office.

As an internal control, write one canonical version of each physical address in Indonesian administrative terms. Preserve the spelling in official documents and record any accepted abbreviation beside it. Do not translate a village name or replace a regency with a nearby better-known city merely to make the address easier for an overseas reader.

Check the corporate address fields

Bring the current articles and proposed detailed address so the domicile and AHU entry can be reviewed together.

Separate the project site from the office receiving mail

A company office that receives correspondence and a site where an activity occurs can be different places. Identify what each OSS entry describes before comparing it with AHU. A factory, warehouse or other operating site should be assessed as that site; a contract for receiving post does not establish the location or suitability of the activity.

The official OSS address-correction guide illustrates a business/project record with an address, administrative-area fields and before-and-after data. It describes corrections such as a changed building or street name and asks for supporting confirmation from a listed authority, area manager or building owner. Its published workflow also includes verification and an approval status. That narrow correction route should not be assumed to authorise relocation to a different plot.

Use the company identity, business activity and physical site as separate comparison keys. If two records concern different premises, identical wording would conceal that difference. If they concern the same premises, a different building number, village or location reference needs an explanation before either record is used for a new application.

Receiving mail is a separate operational function. Check who receives official correspondence, how it reaches the company and what happens when the arrangement ends. A virtual-office or serviced-office description is not a blanket answer to zoning, activity-specific premises rules or tax requirements. Those questions require the actual location and intended use.

The reconciliation board keeps each record attached to its purpose. The evidence rail joins the checks without assuming that all three address lines must be identical.

Three address records joined by an evidence rail Corporate, OSS and tax record strips retain their own purposes. An evidence rail connects all three to one reconciliation outcome: explain different purposes and match the same purpose. AHU Corporate identity Domicile and complete company address OSS Activity location Identify the relevant business or project site TAX Tax address role Main address and reported business places Different purpose? Explain. Same purpose? Match the place and evidence. Evidence rail
Use the evidence rail to reconcile the same place and explain separate places; identical address wording is not the completion test.

Keep the tax address tied to the facts

The Directorate General of Taxes uses its own domicile test. PER-7/PJ/2025, Article 10 looks at the management office and centre of administration and finance, including the actual situation where it differs from documents; it also addresses separated functions and specified sectors. Article 24 covers address changes and business-place additions or removals, while Article 28 routes a change across tax-office jurisdictions through a taxpayer-transfer procedure.

For record maintenance, Coretax guidance distinguishes changes to the main address from changes to other addresses. The main-address route is under Portal Saya, Perubahan Data, Perubahan Alamat Utama; other addresses appear under the profile-editing route. These are portal instructions, not a replacement for deciding which facts the company must report.

Compare the company’s actual management arrangements with its main tax-address entry before treating the office-provider address as conclusive. Map additional business places separately. The narrower discussion of address choice and tax-office registration is relevant when the proposed office affects the tax-registration workstream.

A shared address string is not proof of a shared function. Record why the office, project and tax entries coincide or differ, and assign the tax review to someone who can verify the company’s actual arrangements.

Check the tax-address basis

Bring the main tax-address entry and the facts about management, administration and business places so any disagreement can be assessed.

Complete a field reconciliation sheet

Create one row for every distinct physical place, then attach each record that refers to it. The following is an editorial planning tool, not an official application form or a universal document requirement. Its value is that it exposes a wrong comparison before someone copies an address into another system.

Comparison field What to enter Check against Disposition
Place and purpose Office, project site or other business place; who uses it Actual arrangements and relevant record Same place or separate place
Corporate domicile City or regency stated in the current articles Corresponding complete corporate address Consistent or corporate review
Detailed locator Street, building or unit, RT/RW and administrative hierarchy as relevant Current AHU and records for that same office Match or explain variance
Activity location Site linked to the particular OSS business/activity record Actual site and its location evidence Retain or assess site change
Tax address role Main address or another reported business place Actual management and business-place facts Confirm or tax update/transfer review
Evidence and version Document reference, effective date, record date and responsible person Latest accepted output for each affected system Closed or unresolved

For each row, record the source value verbatim before normalising formatting. This preserves the difference between what an authority currently holds and the address you believe it should hold. A comparison sheet that silently overwrites the old value cannot explain how the mismatch arose.

  1. Identify the physical place first. Confirm whether the documents concern the same building, unit and site rather than relying on a similar trade name.
  2. Compare the administrative hierarchy. Check province, city/regency, district and village before reviewing street abbreviations and punctuation.
  3. Classify the difference as formatting, a genuine separate location, an incorrect entry or a real change. State the evidence supporting that classification.
  4. Name the affected record, responsible person and required completion evidence. Keep an unresolved item open until the accepted result can be checked.

Use evidence proportionate to the disputed fact. A signed premises agreement may help establish the right to use an office; an owner’s confirmation may explain a building renaming; location evidence may distinguish two sites. None of these proves every other field. Evidence must answer the specific discrepancy , rather than merely show that the company has a document carrying an address.

Route each discrepancy to the record it changes

The following hypothetical comparisons show how to use the sheet. They are decision aids, not findings that a particular company qualifies for an office arrangement or licence.

The same premises have two spellings

If one record abbreviates Jalan and another spells it out, first verify the remaining locator fields. Retain an explanation if both identify the same premises accurately. If a building name changed, examine the documented correction route for the affected record. A postal-code or village discrepancy deserves a factual check even when the street wording looks familiar.

The company office moves within its existing domicile

Distinguish a change of complete address from a change of the domicile stated in the articles. Ask the notary which corporate data filing and supporting instrument apply to the actual facts; assess OSS and tax records separately. A move within one city does not, by itself, establish that the same tax office remains responsible.

The proposed move changes the domicile or operating site

Article 21 treats a change to the domicile in the articles as a change requiring ministerial approval. That corporate route does not decide how an OSS project relocation must be processed. For an operating-site move, identify the affected activity/location record and its existing approvals before selecting a portal action. Preserve the old-to-new location relationship rather than editing until the addresses merely look alike.

For the corporate distinction, use the Company Law’s address and amendment provisions . For the OSS record, follow the workflow applicable to that record and retain the accepted result, not just the request. Separately verify the resulting tax profile. One accepted update does not prove that the other records changed.

Release the address pack when every difference is explained

Release the address pack for the intended filing only when each physical place has a stated purpose, each same-purpose discrepancy has been resolved or evidenced, and the current corporate, OSS and tax outputs have been checked where affected. Retain the underlying evidence and accepted record versions together so the next person can reproduce the comparison.

Pause the affected filing if the proposed office contradicts the corporate domicile, the project record identifies another site, or the tax entry cannot be reconciled with actual arrangements. Resolve that specific issue with the responsible notary, licensing adviser or tax adviser before approving the address for reuse. An unexplained difference is an open decision, even when an earlier registration succeeded.

Prepare an explainable address pack

Assemble the accepted records and evidence for each office or project location before the next filing.

Frequently asked questions

Does an overseas shareholder’s address replace the PT address?

No. A shareholder address identifies that person or entity. Keep it separate from the company address being reconciled; one field should not be used to fill the other.

Is an English translation enough for the comparison?

Keep the Indonesian source wording alongside any translation. A translation can assist an overseas reviewer, but the comparison should remain traceable to the administrative names and locator details in the underlying records.

Does this framework establish that a virtual office is permitted?

No. It identifies what the records describe. Eligibility for a particular office arrangement depends on the activity, location and applicable corporate, licensing and tax conditions. Mail handling alone does not settle those questions.

Must every supporting document be newly issued?

Use evidence that accurately supports the current fact and meets the requirements of the receiving process. There is no universal document-age rule asserted here; record the date and explain why the evidence remains applicable.

What should a company keep after correcting an address?

Retain the earlier value, reason for change, supporting evidence, submission reference and accepted output. Reopen each affected profile and check the resulting value rather than assuming all linked records updated automatically.
