A document coordinator might assemble information and chase outstanding items; an authorized filing representative may have a defined procedural role. Neither description, by itself, tells you who must sign an incorporation document or who may later operate the company’s bank account.

For each row, write a person’s name rather than “the team.” Where the intended principal is already a company, include the current company authority record in the review pack. Where the principal is an individual promoter, identify that individual and capacity expressly. A mismatch should be resolved before the document goes out for execution.
The supporting identity and corporate records remain their own evidence set. Match the principal’s details against the identity records for foreign shareholders so that names, document numbers and capacities stay consistent across the appointment and the formation file.

Give each participant the final documents and a plain explanation of the entries that concern them. Ask them to check their name, capacity and the commercial facts before the signing stage. As a practical control, keep passwords, PINs and one-time codes with the person who uses them; granting a power of attorney is not a reason to pass these credentials around.
If verification fails, identify whether the problem concerns the passport record, account details or verification channel. Correct that particular problem through the accepted process before scheduling another signing attempt. Replacing the person in front of the camera or widening a power of attorney does not resolve a personal verification requirement.
Prepare overseas execution and stamp duty separately
An overseas signature needs an execution plan for that document and receiving procedure. First establish whether a separate power of attorney is actually required for the assigned act. Then identify where the signer will sign, their nationality, the language of the instrument and who will receive it. Do this before paying a notary or arranging a consular appointment.

These amounts concern stamp duty on the relevant authorization instrument. They do not include company registration charges, professional work, translation, notarization, consular services or delivery. The scope of the instrument determines the duty classification ; paying a larger amount does not expand the representative’s authority. Record the agreed payment method and evidence for the actual instrument rather than copying a stamp amount from an unrelated sample.

Share the signing country, the signer’s nationality and the proposed receiving procedure so the document and certification sequence can be assessed together.
Control corrections and the representative’s handover
Build a change rule into the working instructions before a registrar query arrives. A spelling correction supported by a passport is different from changing the director signing arrangement or the share allocation. Your instruction should identify which changes can be prepared routinely and which require fresh written approval. It should also state who makes that decision when the usual contact is unavailable.
Hypothetical example: a founder approves a filing brief that requires two directors to sign together. A later draft describes one director signing alone.
