ADDRESS AND EVIDENCE
Proof of Address for Hong Kong Company Registration
Match each address to its legal function and the recipient’s evidence request.
For a Hong Kong private company limited by shares, the incorporation form asks for specific address information, including a director’s usual residential and correspondence addresses and the company’s registered office. A proof-of-address document is a separate question: an engaged provider or bank may ask for evidence under its own review, so confirm the recipient’s requirements before sending personal documents. Key takeaways
- Director residence and correspondence are separate NNC1 fields.
- The company’s registered office must be in Hong Kong.
- A local office is not automatically the director’s home.
- A provider or bank may ask for its own address evidence.
- Confirm acceptable documents and handling before sharing them.
Separate the four address purposes
An address can identify where an individual lives, where a director can receive correspondence, where the company’s registered office is situated, or where its business actually operates. Those descriptions do not necessarily point to the same premises. List each role against the actual person or company before trying to select a document.
The Registry requires a registered office address for the proposed company and particulars of its first directors. The Hong Kong company registration filing route uses Form NNC1 with the articles of association and IRBR1 for a local company limited by shares. The Registry’s published filing list does not present a universal utility-bill requirement as an additional incorporation form. This is not a waiver of any separate request made by an engaged service provider. Source: Registry filing instructions
| Address or evidence | Who uses it | Preparation decision |
|---|---|---|
| Director’s usual residence | NNC1 protected information | Report the actual home address on the relevant PI sheet. |
| Director’s correspondence | NNC1 public particulars | Use an address at which communications can reach the director. |
| Registered office | Company statutory address | Secure a suitable Hong Kong address and authority to use it. |
| Address evidence | Provider or bank, if requested | Ask the particular recipient whose address and which document it needs. |
This map is a preparation aid rather than a substitute for the current form. It matters when, for example, a director lives overseas but the Hong Kong company uses a different registered office: a service address does not automatically describe the director’s residence , and a home-address document does not by itself establish the company’s registered office.
Clarify your address roles
Check the proposed office and director details before preparing the filing.
Complete the director address fields
The NNC1 specimen instructs applicants to enter a natural-person director’s correspondence address in the relevant public particulars and the usual residential address on a separate PI-NNC1 sheet. A correspondence address outside Hong Kong should include the country or region; a post-office box is not accepted for that address. The specimen also says not to use a care-of address or post-office box for a usual residential address. Follow the actual current form’s structured fields rather than combining lines to make them fit a third-party template. Source: Registry NNC1 specimen and notes
The director’s usual residential address is protected information, while the correspondence address is used for public inspection under the Registry’s inspection regime. Protection is not absolute secrecy: access and disclosure are governed by the relevant regime, and the Registry describes circumstances in which a residential address may become available if correspondence is ineffective. If the home address has changed, first decide which address is the actual usual residence at the time the form is completed. Give the service provider the same underlying facts used in the filing, explain legitimate formatting differences, and check whether updated evidence is requested. Do not substitute a relative’s Hong Kong home or an office mailbox just to produce a local-looking address.
Confirm the company registered office
A local company must report its proposed registered office in Hong Kong. Agree who controls the premises and whether the company is authorised to use the address before the filing is submitted. A registered-office service can perform a different role from the address of a director’s home or the place where goods are stored and staff work. The registered office and virtual address rules help assess that distinction. Source: Registry incorporation FAQ
Ask the address provider what mail handling, forwarding and access arrangements are actually included, how long authority to use the address lasts and what happens if the service ends. Where the company will use the location for regulated activities or for a bank’s operating-address review, check those separate requirements with the relevant authority or institution rather than assuming that a registered-office contract answers them.
Keep a current written record of the selected address, its service period and contact for receiving notices. If the office later changes, check the applicable Registry notice and timing; do not silently continue using an address after permission has ended. Source: official guidance
Select evidence for the actual recipient
A trust or company service provider conducting customer due diligence should obtain the customer’s residential address information under the Registry’s TCSP guideline. The guideline distinguishes collecting address information from verifying it, and recognises that verification may be requested in some circumstances for other reasons. Ask the contracting provider exactly which person is in scope and whether it needs a document, certification or translation. Source: Registry TCSP anti-money-laundering guideline
Banks have their own procedures. HKMA says bank checklists differ according to individual policies and risk assessments, and its corporate account-opening information includes the registered office and principal place of business when different. It does not follow that every bank demands the same residential-address document or accepts the same substitute. Source: HKMA account information guidance
Before ordering certification, ask the recipient for its accepted document types, issue-date or recency rules, language, format, whether electronic statements are acceptable and whether a named person must certify a copy. A utility statement, bank statement or official correspondence may be worth proposing, but the recipient must confirm whether the specific item is acceptable for that person and purpose. Do not assume a universal three-month validity rule .
Ask whether the document must show the full name and complete address, whether joint names are acceptable, and how an applicant without bills in their own name should proceed. If an overseas director has a local-language statement, request the recipient’s translation and certification instructions before paying a translator or courier. The relevant requirement can arise from provider policy, the recipient’s legal obligations or the particular risk assessment; record which institution has made the request.
Resolve an evidence request
Identify the recipient’s acceptable documents and any certification conditions.
Resolve common evidence mismatches
If the spelling of the person’s name differs between an identity document and a statement, explain the difference and ask what supporting records the recipient accepts. Address formats can also differ: a building name, apartment number or translated district may appear in a different order while still describing the same location. The receiving institution decides whether the explanation and documents are sufficient.
A document addressed to a landlord, parent or spouse may not establish the applicant’s address to the recipient’s satisfaction. Ask for the recipient’s permitted alternatives instead of editing a bill or presenting someone else’s name as your own. If the applicant recently moved, explain the timing and request an acceptable temporary route; do not submit an older address as current simply because an old statement is available.
Use the provider’s secure channel and share only requested information. Confirm who will receive the evidence, how it will be used and whether a certified copy must travel separately. If a bank rejects one item, obtain the reason and acceptable replacement, then supply the replacement to that bank; the rejection does not automatically mean the incorporation form was rejected.
Decide when the address package is ready
The address package is ready for a local private-company filing when the company has an authorised Hong Kong registered office, each applicable director field reflects the correct actual address, and the people signing have checked the current form’s instructions. Keep a separate checklist for any provider or bank that has requested supporting evidence.
Pause before submission if the home address is uncertain, the correspondence address cannot receive communications, authority for the registered office has not been secured, or the recipient has not accepted an essential alternative document. Resolve the specific gap with the Registry, provider or bank responsible for that part rather than treating all three as one approval process.

Frequently asked questions
Can a director use an overseas residential address?
The NNC1 specimen provides for a non-Hong Kong residential address and asks for the country or region where applicable. Report the actual usual residence in the specified fields. Source: Registry NNC1 specimen and notes
Can the registered office also be a correspondence address?
The Registry guidance discusses using the company’s registered office as a director’s correspondence address. Confirm that the director can actually receive communications there. Source: official guidance
Does the registered office have to be the operating location?
Do not assume so. For bank account opening, HKMA lists information on the principal place of business where it differs from the registered office. Source: HKMA account information guidance
Can my bank require evidence even if my address is already on a form?
A bank applies its own account-opening policies and may seek additional information for the review. Ask it to identify the specific missing evidence. Source: HKMA account information guidance
What if the company later changes its registered office?
Check the current Registry form and timing for notifying a change; the Registry lists a notice of change of registered office. Source: official guidance
