Address permission and service boundaries
Registered Office Fees in Malaysia: Services and Limits
Price the actual permitted use of an address, not only its postal location.
Public Malaysian registered-address observations include a MYR 500 annual service listing subject to service tax and a MYR 324 annual address component sold with a larger secretarial bundle. Those figures do not price identical purchases. Evaluate statutory registered-office use, mail handling, records access and forwarding separately; a registered-office contract does not automatically supply trading premises or guarantee bank and licensing acceptance.
Key takeaways
- A component price inside a bundle may not be available as a standalone purchase.
- Statutory address use and operational mail services need separate inclusion checks.
- A bank, licensing authority or landlord may assess the proposed use independently.
- Address exit terms should cover notices, remaining mail and records continuity.
Establish the statutory use being purchased
A company must have a registered office in Malaysia to which communications and notices can be addressed. SSM’s registered-address instructions also state that the office must be open and accessible to the public during ordinary business hours, and that the Registrar must be notified of an address change within 14 days. These requirements make the service more than a decorative location on an invoice.
Ask which entity is authorised to use the address, how official communications are received and who ensures the required access arrangements. Record where company documents are maintained and how entitled persons obtain access under the applicable rules. Avoid assuming that buying a mail service establishes all statutory record arrangements.
Clarify whether the proposal supplies the statutory office, a business correspondence address, a virtual office package or physical premises. A supplier may offer several of them, but the permissions and costs can differ. The permitted use should appear in writing before the address is placed on an application or public record.

Separate statutory office use, correspondence and physical operating requirements.
Compare the purchase you can actually make
Three current provider pages checked on October 28, 2026 illustrate different products. The following observations are anonymous reference points, not a like-for-like price range or HSJGlobal offers. No general tax-inclusive average is calculated from them.
| Observed offer | MYR amount and period | What is described | Comparison limit |
|---|---|---|---|
| Address component in a secretarial bundle | 324 per year; larger bundle 1,620 per year | Registered address with mail handling and scanning | Do not assume the component can be bought alone |
| Annual registered-address service | 500 per year; subject to service tax | Virtual office support listed with address service | Confirm the actual mail and access allowance |
| Combined virtual office and registered address | 800 per year | Combined office/address service description | Detailed operational allowance requires confirmation |
A component can be cheaper than a standalone service while the required purchase costs more overall. Use the actual amount you must pay to obtain the address, then identify the other bundled services it buys. Do not subtract the secretary from a bundle unless the provider offers a genuine standalone alternative.
Forwarding charges, courier costs, parcels, storage, excess volume and urgent handling need their own basis. One observed address offer says international courier is billed at cost, which is not a promise of unlimited free dispatch. The mail destination and expected volume should therefore enter the quote request.
HSJGlobal’s global USD indicative address tiers do not establish a confirmed Malaysian MYR fee. Request a Malaysia-specific scope, local charges and tax basis. The observations here should not be converted into an unauthorised HSJGlobal quotation.
Test each address use against permission and evidence
Use this matrix before committing to an annual contract. It is an acceptance tool: the supplier’s permission and the receiving institution’s acceptance are different checks. A document confirming one use should not silently stand in for every other use.
| Intended use | Supplier permission to confirm | Evidence to obtain | Limit to test |
|---|---|---|---|
| Statutory registered office | Named company and legal-office use | Agreement and correct company particulars | Required accessibility and communications |
| Official mail | What notices are accepted and escalated | Receipt log and notification process | Urgency, responsible contact and outages |
| Ordinary business mail | Letters, parcels and volume limits | Written mail allowance | Rejected items and extra charges |
| Bank correspondence | Whether the address may be presented | Accurate address evidence | Bank’s independent KYC requirements |
| Licence or premises application | Whether the use is actually permitted | Specific permission and premises evidence | Authority’s activity and location conditions |
| Meetings or physical occupation | Whether any space is supplied | Booking or occupancy terms | An address subscription may supply none |
The virtual office permissions and operating limitations help frame the distinction between an address and a place where the business operates. Do not treat a provider’s willingness to receive bank mail as a guarantee that the bank will accept its evidence for your company.
After the permissions are identified, trace how a real item of important correspondence moves from delivery to the company’s decision-maker. That operating path determines whether the address is usable while founders are overseas.
Trace an important mail item end to end
Agree the receiving process, the logging record, how the company is notified and when the original is forwarded or collected. Identify a primary and backup recipient inside the company. Scanning a notice is useful only if somebody sees it and acts within the relevant time.
- Give the provider current company contact and escalation details.
- Identify mail categories that need urgent notification rather than routine batching.
- Agree how scans, originals and delivery tracking are retained.
- Check what happens to rejected, uncollected or undeliverable items.
Ask about scan quality, access controls and how sensitive mail is shared. These are service specification questions rather than claims that every provider follows one statutory scanning standard. Receiving a letter does not resolve its contents. The company still needs a responsible person for a request, deadline or dispute conveyed in that letter.
Use the broader Malaysia company registration pathway to check the company and address particulars that will be reused. A mismatch in the entity name or office details can create avoidable confusion in banking records, invoices and later applications.

Specify notification, originals, forwarding and responsible company contacts.
Plan address exit without a communications gap
Before renewal or transfer, document the new effective date, required registry notification, contract notice period and responsibility for outstanding mail. Ask whether the old provider continues accepting items for a defined period, forwards them, rejects them or charges for storage. Do not assume a continuing forwarding entitlement after the contract ends.
Keep the statutory change process separate from updates to banks, customers, suppliers, websites and relevant licensing records. The company should know which update has been completed and which organisation still uses the old address. A provider handover should include the remaining mail inventory and agreed delivery method.
If records are maintained through the outgoing arrangement, identify their lawful location and handover access as part of the transition. Contract termination should not leave the directors unable to locate the company’s documents or respond to official communications.
Approve an address that supports its uses
Approve the address purchase when statutory use, accessibility, mail services, actual purchase price and exit continuity are clear for the named company. Treat additional operational uses as separate permission and acceptance tests.
Escalate before purchase if the office cannot support its statutory function, the contract does not permit the proposed use or a bank or authority requires evidence the service cannot supply. A lower annual amount does not cure an address that cannot support the intended task.

Frequently asked questions
Can an address component price be compared with a standalone fee?
Only after establishing the whole purchase required to obtain it and the other services included.
Does receiving bank mail guarantee bank acceptance?
No. The bank assesses the company and address evidence under its own onboarding requirements.
Is international forwarding automatically included?
Check the contract. Courier, destination, volume and storage may be charged separately.
What should be agreed before changing address providers?
Set the effective change, notification responsibilities, remaining mail, record access and contractual exit terms.
