Registry document retrieval
Singapore Business Profile: What It Shows and How to Get It
Choose the right registry output, retrieve the correct entity’s report and check what the file can support.
An ACRA Business Profile is a report of registered business information in Singapore, such as the entity’s Unique Entity Number (UEN), name, registration date and relevant people. You can buy it through Bizfile, the Accounting and Corporate Regulatory Authority (ACRA) portal, or retrieve a free copy after an eligible filing. Use it to establish recorded particulars; it does not establish every fact a recipient may require.
Key takeaways
- Search first when you only need basic entity information; buy the report when a recipient needs the profile itself or its additional recorded details.
- Confirm the UEN before paying: similar names and related group entities can lead to the wrong purchase.
- An eligible filing may already have generated a free copy for its lodger, which can avoid an unnecessary purchase.
- Save the retrieved file and record its purpose; payment confirmation alone does not complete a document handoff.
- Verification of origin and acceptance of the document’s age are separate checks, so confirm both before relying on a supplied copy.
Choose a free search or the Business Profile
Start with the question the document must answer. Bizfile’s free search can show basic business information, including status and registered address, without a login. That may be sufficient for an initial identity check. A search result and a purchased registry report are different outputs; confirm which one the recipient expects.
ACRA lists the Business Profile at S$5.50 per purchase , checked on 19 October 2026. Its purchase guide allows guest checkout, so a Singpass or Corppass login is optional. The listed charge is for the information product; it does not include someone interpreting the document for your transaction.
Before paying for your own entity, check whether the person who filed its registration or eligible annual filing already received a free copy. Under ACRA’s free-copy rules , the eligible transaction’s lodger can retrieve it, including a CSP that filed for the entity. Being a shareholder does not by itself mean that this particular free copy is in your inbox.
For a newly formed company, retrieving its registry report belongs after the underlying company registration in Singapore . Buying the report is a records request, rather than another incorporation filing.
Match the company fields to the evidence you need
For a company, ACRA describes Business Profile information as including its name and incorporation date, business activities, registered address, capital, officers, shareholders and audit firm particulars. Its explanation of company profile terms distinguishes issued capital from the amount paid for shares. Coverage depends on the entity and available record; do not assume every business structure has company shareholders or share capital.
Use the following handoff table to turn the fields into a defined task. The follow-up column is an editorial evidence test, rather than an additional ACRA certification.
| Profile information | Useful evidence task | What still needs checking |
|---|---|---|
| Legal name, UEN and incorporation date | Match the entity to the recipient’s request. | Resolve a trading-name or group-company mismatch before sending. |
| Registered address and business activities | Reconcile the filed record with the application. | A filed description alone cannot establish permission for a regulated activity. |
| Officers and shareholders | Identify recorded people and immediate ownership. | Obtain separate authority evidence where someone will sign or act. |
| Issued and paid-up capital | Separate committed share capital from amounts paid. | Do not treat either figure as today’s bank balance. |
| Audit firm particulars, where recorded | Identify the firm appearing in the record. | Obtain the actual accounts or audit report if those are requested. |
A UEN is an identifier; the Business Profile is a report about the entity. Keep the separate UEN and incorporation certificate distinct when assembling a document pack. A request for one should not be silently answered with another.
After retrieval, two different checks remain: authenticity through ACRA’s verification service, and whether the fields actually satisfy the request. Passing the first check cannot resolve a missing fact in the second.
Retrieve a Business Profile through the correct route
For an eligible free copy, ask the transaction’s lodger to check their Bizfile inbox and download the attachment. The dedicated free-profile guide describes this route. Download promptly and follow the actual notification and portal instructions for that copy.
For a paid copy, use ACRA’s documented Bizfile purchase sequence . Have the entity name or UEN and the delivery email ready:
- Find the entity through Bizfile’s entity search. Check the UEN and legal name before selecting its Business Profile.
- Add the correct profile to the cart, select it and choose Checkout. Continue as a guest or use the optional login route.
- Enter your name and delivery email, check the details and terms, then review the order before paying. ACRA lists card and online banking payment methods.
- Save the acknowledgement and receipt after successful payment. Use Download products where offered, or retrieve the product using the subsequent delivery instructions.
For later retrieval, ACRA’s download guidance requires the product download code and delivery email address on the product download page. Logged-in purchasers can also find the code in their Bizfile inbox. A receipt proves payment; completion means you have opened and saved the correct profile.
If a message has not arrived, check the delivery address you entered and your email folders before assuming the purchase failed. Preserve the acknowledgement and payment reference when seeking help. Avoid buying again until you have established whether the original order succeeded: ACRA states that incorrect purchases are not refundable.
Verify authenticity and recognise the profile’s limits
ACRA directs Business Profile verification to its free trustBar service . Keep the original digital file and follow the portal’s instructions, especially when a counterparty supplied the document rather than you obtaining it yourself. Compare the verified document with the file you were asked to rely on.
The current trustBar guidance supports Business Profiles purchased from 4 March 2023 onwards. It expressly says currency checks are not available for Business Profiles . An authentic report can therefore still be unsuitable when a later change matters. Check the relevant record again, or obtain another profile where the request requires newer information. Ask a bank or other recipient what issue date it accepts; its recency requirement is specific to that institution or transaction.
Ownership information also has boundaries. Under ACRA’s public nominee disclosure rules , a current nominee director or nominee shareholder can carry an ND or NS marker. Nominator identities, nomination dates and historical nominee arrangements remain private; the public cannot buy the underlying ROND or RONS information. An absent marker is not a complete beneficial-ownership investigation.
Do not turn an unexplained field into an assumption. If a person claims authority but the profile does not establish it, request the relevant authorisation. If your own company’s recorded particulars are wrong, have the responsible officer or filing provider investigate the underlying filing; editing the downloaded file would not correct ACRA’s record. Keep the discrepancy unresolved in the handoff until supporting evidence answers it.
Release the Business Profile with a clear evidence note
A usable handoff identifies the entity, preserves the retrieved file and records what was checked. Add a short note stating the UEN, the retrieval date, the purpose of the request, the authenticity check performed and any fact still awaiting confirmation. For a purchased copy, retain the receipt separately so payment and document evidence remain easy to locate.
Send the profile when its recorded particulars match the request and the recipient’s document requirements are understood. If the request really concerns signing authority, financial position or ultimate ownership, identify the additional evidence needed before treating the pack as complete. This keeps a simple registry retrieval useful without asking it to prove more than its contents support.
Frequently asked questions
Can I obtain a profile for a struck-off or terminated entity?
Yes. ACRA’s purchase guide says non-live entities also have profiles, but the information is limited. Ceased entities do not show entity addresses; an omitted address is therefore not automatically a download fault. Check the entity-status limitation .
How soon does ACRA say a purchased profile is available?
The purchase guide currently lists processing within 15 minutes. Treat that as the published service information rather than a promise about a particular delayed order. Use the acknowledgement and delivery instructions to trace the purchase. ACRA purchase guidance .
Does the profile provide everyone’s residential address?
Do not assume it does. ACRA limits requests for residential addresses to specified eligible persons. A missing contact address can also reflect the circumstances described in its information-product guidance. ACRA’s address-access explanation .
Is a failed trustBar check conclusive proof of a fake?
First check that the product is covered by the service and that you followed its instructions. ACRA’s stated Business Profile coverage begins with purchases from 4 March 2023. If origin remains unresolved, obtain evidence directly through the official route before relying on the file. trustBar scope .
Must I submit a free profile within a universal validity period?
Confirm the receiving organisation’s recency requirement and any changes to the company record. The period for accessing a download is a separate issue; follow the instructions in your actual notification and portal. Do not treat a download-access deadline as the document’s expiry date.
