Company Registration Number: Meaning and Uses

Match the right entity, use the right identifier and understand what a registry record can establish.

A company registration number is an identifier assigned to a company in an official registration system. It links the entity to its registry record and helps distinguish it from similarly named businesses. Its label, format and relationship to tax numbers depend on the jurisdiction; there is no single worldwide company-number format.

Before using the number on a contract, bank form or supplier record, confirm the issuing jurisdiction, number type and legal company name. The UK, Australia and Hong Kong examples below illustrate different systems, while the US EIN example clarifies a common tax-ID confusion.

Key takeaways

  • Use the company number together with the legal entity name and issuing jurisdiction.
  • Preserve letters and leading zeros instead of applying one global format rule.
  • Read the form’s instructions before substituting a tax ID or licence reference.
  • A registry match does not establish signing authority or complete operating permission.
  • Reconcile historical identifiers and inconsistent documents before relying on them.

What does a company registration number identify?

A company registration number identifies an entity in a particular official register. Use it together with the legal company name and issuing jurisdiction: an isolated string of digits does not tell a cross-border counterparty which register to consult. A trading brand, group name or website address can describe a business without identifying the precise contracting company.

In the UK, the Companies House incorporation guidance confirms that a certificate of incorporation states the company’s name, registered number and incorporation date. The certificate establishes registration under the Companies Act 2006; it does not by itself establish every approval needed for the planned activity.

The practical uses are entity matching: completing supplier or bank onboarding fields, identifying a contract party, routing registry filings and checking the record behind an invoice. The number supports these tasks, but a bank or customer may require additional evidence. A matching company number does not prove that the person contacting you can act for that company.

Where do you find the number, and does its format matter?

Start with the official incorporation record or registry entry, then compare the identifier with the document you received. Retain letters and leading zeros. Store it as text in your records so a spreadsheet does not silently shorten it. The following examples show why a global form should ask for the jurisdiction as well as the number.

Three systems: the label and format are jurisdiction specific
Jurisdiction Registry identifier What to check
United Kingdom Company registration number: 8 characters Can contain letters as well as digits; preserve the full value.
Australia Australian Company Number (ACN): 9 digits Do not substitute an 11-digit ABN without checking the field.
Hong Kong Business Registration Number (BRN): first 8 digits of the Business Registration Certificate number An older certificate may carry the former company number.

The UK format is shown in HMRC’s company-number field guidance . ASIC explains ACNs and ABNs and states that an ACN is issued when a company is registered. These are examples, rather than a universal length or validation rule.

For Hong Kong, the Companies Registry’s official number-mapping page explains that BRN replaced the former company number as the identifier from 27 December 2023. Earlier certificates were not reissued solely for this change. Use the official mapping between the old number and BRN when reconciling historical documents; a difference can therefore have a documented explanation.

Which identifier belongs on the form?

Use the identifier requested by the receiving organisation, rather than whichever number is easiest to copy. Tax identifiers and licence references answer different questions. Some jurisdictions share identifiers across government functions; others issue separate numbers. Check the issuer and field instructions before treating two labels as equivalent.

Identifier-use matrix for onboarding and compliance
Field asks for Evidence to consult Avoid this substitute
Company registration number Relevant company registry record and formation certificate A brand name, invoice number or personal ID
Tax identifier The relevant tax authority’s record or notice A company number assumed to cover tax registration
Licence or permit number The issuing regulator’s approval for the relevant holder and activity A certificate showing only company incorporation

For a UK limited company, HMRC’s organisation-matching instructions request both a company registration number and a Corporation Tax Unique Taxpayer Reference. In the United States, the IRS defines an Employer Identification Number as a federal tax ID. An EIN should therefore not be assumed to answer a form asking for a company registry identifier.

Australia also illustrates the distinction: ASIC issues the ACN, while the Australian Taxation Office issues the ABN. An ABN may be used in place of the ACN on specified company documents only where ASIC’s stated conditions are met. That display rule does not make every international onboarding field interchangeable.

What can an official record prove?

An official record can help confirm which entity a number refers to and what the register currently reports. It cannot, on its own, prove financial strength, the authenticity of an email, the authority of a signatory or permission for every business activity. Registration status is one part of a transaction decision.

For UK entities, Companies House’s current register guidance describes access to company type, registered office, status, filings and insolvency information. It also warns that the service is not comprehensive and that inaccuracies can occur. Read the status and recent documents rather than treating the existence of a result as approval to trade or evidence that a counterparty is reliable.

For regulated work, verify the relevant approval separately against the holder, activity, location and conditions. The companion guide on verifying a business licence and approval document develops that distinct evidence check. A number printed on a polished PDF still needs to be matched with the responsible issuer.

Choose and reconcile a company identifier Identify the jurisdiction and field type. If the required identifier is unclear, ask the form recipient. Otherwise open the official record. When the legal name and number match, use the correct field; a mismatch means pause and reconcile. Jurisdiction + issuer Read the field instructions Identifier type clear? No / unclear Ask the form recipient Yes Open official record Name + number match? No Yes Pause + reconcile Use the correct field
Two decision points: confirm the requested identifier type, then reconcile the legal name and number against the official record.

Resolve mismatches before using the number

Use a company registration number only after the jurisdiction, identifier type and legal entity align. If a material mismatch remains, pause the affected onboarding, contract or payment and ask for an explanation supported by official records. Treat this as a reconciliation task; a mismatch alone is not proof of misconduct.

  1. Capture the claimed legal name, issuing jurisdiction, number label and full identifier. Keep the original document and date of your check.
  2. Open the responsible register independently. Compare the number, entity type and name with the contract or onboarding form, rather than relying on a link supplied in an unsolicited message.
  3. Classify the discrepancy: a missing leading zero, a trading name, a different group company or a historical identifier needs a different resolution. For older Hong Kong records, use the official CR-number/BRN mapping.
  4. Ask the counterparty to correct the relevant document or provide evidence linking the records. If the official entry itself appears incorrect, raise it with the registry through its published contact route.
  5. Record the resolved identifier and remaining checks. Confirm signing authority and payment instructions separately; do not release a transaction solely because the number matches.

For example, if an invoice names one company while the contract names another group entity, do not overwrite your vendor record merely to make the number fit. Ask which entity is supplying the goods and require consistent documentation. These are practical controls, rather than a universal statutory checklist.

If the issue is choosing or establishing the entity itself, review HSJGlobal’s global company formation and registration services . Keep formation support, tax registration and any operating approvals as clearly defined tasks.

Frequently asked questions

Does a UK sole trader have a Companies House company number?

A UK sole trader should not invent one for a form designed for limited companies. HMRC’s organisation-matching pattern instead asks sole traders for their Self Assessment Unique Taxpayer Reference. Ask the form recipient for the appropriate business-type route.

Can a public company number be treated as a password?

No. Registry identifiers can appear in public records and company documents. Keep account passwords and access codes separate, and apply your usual security controls even when a caller quotes the correct company number.

What if a form rejects a valid overseas number?

Check the selected jurisdiction and entity type, then compare the field’s allowed characters with the official identifier. Ask the recipient how overseas entities should be entered. Do not remove meaningful letters or supply a different entity’s number to bypass validation.

Should a vendor master file contain several numbers?

It can, provided each field is labelled by identifier type, issuer and jurisdiction. Keep the formation identifier, tax reference and relevant licence references separate, and record which legal entity each belongs to. This reduces accidental substitutions when teams reuse onboarding data.
