BUSINESS RECORD VERIFICATION
Hong Kong Business Registration Search: How to Check a Business
Find the registration evidence that fits the transaction you are about to make.
A Hong Kong business registration search starts with the Inland Revenue Department’s Business Register. Use its number-enquiry service to identify the business, then obtain the relevant registration document if you need evidence. Use a Companies Registry search separately for company particulars; registration evidence does not establish a counterparty’s authority, solvency or sector permission.
Key takeaways
- A legal entity and its trading style can differ; identify the party that will sign the contract.
- Free number lookup and paid official documents are separate services, so define your evidence need before paying.
- Document dates matter when a business has recently registered or changed its particulars.
- Payment instructions and signatory authority require evidence beyond a register match.
Choose the record that answers your question
Start with the proposition you need to establish. Finding a tax-registration number, confirming that a company remains registered, and checking whether a supplier may carry on a regulated activity require different records. A shop name can also differ from the legal person that signs your purchase order.
| Your question | Best starting record | What remains unproven |
|---|---|---|
| Is the business registered? | IRD Business Register enquiry and relevant extract | Commercial reliability and permission for regulated work |
| Is the company on the corporate register? | Companies Registry company search | Current business-registration validity |
| Does this certificate cover today? | Valid Business Registration Certificate and payment evidence | Director authority and bank beneficiary |
| May it provide the proposed service? | Responsible regulator’s licence record | Contract performance and financial position |
The IRD business-registration guidance makes the key legal distinction: business registration is not a licence to trade. Use the register to establish the registration facts it records, then add the evidence required by your transaction. A matching registration record does not authenticate the person requesting payment.
For incorporated entities, the company-record search sequence complements the tax-registration check with corporate particulars. Avoid substituting one register for the other simply because both searches display a familiar company name.
Identify the counterparty before ordering evidence
Separate the trading style from the registered operator and decide which record your transaction needs.
Find the business number and order the right document
To check a Hong Kong business registration, obtain its full registered business name and location, use the IRD number-enquiry service, then select the document that answers your verification question. The IRD electronic-services instructions require the full Chinese or English business name and the location category: Hong Kong, Kowloon or New Territories. A brand abbreviation is a poor search key.
- Copy the full name from the proposed contract or certificate; ask the counterparty to identify the registered operator where it uses a trading style.
- Open the official GovHK business-registration services through the IRD page and select Business Registration Number Enquiry. Enter the name and correct location category.
- Record the returned number and compare it with the document supplied by the business. Do not silently substitute a similarly named result.
- Use the document-application service if you need an extract, certified record or duplicate certificate. Confirm the business and document type before paying.
- Save the confirmation, payment receipt and downloaded document together; record when the search was performed.
The GovHK registration-services directory identifies the number enquiry as free. Paid evidence is separate. As checked on October 28, 2026, the IRD charges schedule lists HKD 27 for an uncertified extract, a certified extract or a certified certificate copy, and HKD 20 for a duplicate certificate. These are document charges, not incorporation, annual registration or professional-service fees.
Choose an electronic extract for current registered particulars. A certified extract supplies the original registration information and recorded amendment history; it is useful when the chronology matters. A duplicate certificate answers a different request: reproducing a valid certificate. Ask the intended recipient whether certification is necessary before buying both products.
Select the record by the question it answers, then link its identifier back to the contracting party. This prevents a downloaded certificate from becoming an unsupported general approval.
Reconcile the result with the business you intend to use
Build a compact reconciliation sheet with four rows: legal or business name; registration identifier; registered operator or entity; and relevant address or location. For each row, record the official result, the counterparty’s document, any difference and the evidence that explains it. This is an editorial checking method, not an extra government filing requirement.
Name differences need explanation rather than cosmetic correction. A trading name may belong to a sole proprietor, partnership or company; the party on the contract should be identifiable. Where the transaction involves a newly formed company, Hong Kong company formation requirements concern creation of that entity; a subsequent search checks the records available at the search date.
Then add a separate transaction panel. Who is signing, what authorisation supports that signature, what licence does the activity require, and whose account will receive payment? Keep unresolved contradictions visible rather than marking the whole business verified because one field matches. Independently confirm changed payment instructions through a contact channel you already trust.
Resolve a mismatch without buying irrelevant documents
Bring the result and the counterparty document so the missing evidence can be identified.
Resolve missing records and inconsistent particulars
A failed search is a diagnostic result. It can reflect an incomplete name, the wrong location, a record outside the service’s coverage or an update that is not yet available. The IRD document-service conditions explain that one-stop company records and changes normally become available for document applications after two working days. The Business Register excludes businesses ceased for ten years or more and registrations not yet completed.
| Observation | Check before repeating | Practical outcome |
|---|---|---|
| No result for a brand | Full registered name, operator and location | Retry the official search with corrected identifiers |
| Recently incorporated company | Incorporation evidence and normal IRD availability lag | Recheck after the relevant record becomes available |
| Address differs | Document dates and explanation of the change | Obtain evidence bridging old and new particulars |
| Certificate is expired | Current paid or exempted certificate | Request the valid replacement or renewal evidence |
For electronic extracts involving sole proprietorships or partnerships, the application includes applicant particulars and privacy declarations. Respect the permitted registration-verification purpose. An electronic extract is normally delivered after payment confirmation and remains available for download for seven calendar days. Save the original file promptly and retain the date and product description; a cropped screenshot loses context.
Close the business check with a dated evidence file
Finish with a short dated note identifying the business, the exact search inputs, the document ordered, matched fields and unresolved matters. Attach the official result and receipt, then state which transaction-specific checks were performed independently. This turns the exercise into a reproducible decision rather than an undocumented name match.
Proceed when the registration record matches the intended counterparty and the additional authority, licence and payment evidence meets the transaction’s needs. Pause an unexplained identity or beneficiary mismatch. Repeat material checks near signing if an intervening change could affect the decision; there is no universal freshness period suitable for every transaction.
Prepare a reproducible business-check file
Organise the registration evidence and the outstanding transaction checks before you contract.
Frequently asked questions
Can I search using only part of a business name?
The IRD number enquiry requires the full registered name and location category. A Companies Registry name search has different matching options; do not assume its search rules apply to the IRD service.
Is a search receipt the same as the record I ordered?
No. Retain the downloaded record as well as the receipt. The receipt helps trace the application but does not reproduce the particulars needed by a reviewer.
Should a reviewer insist on a certified extract?
Certification depends on the receiving party and transaction. Ask which official product it accepts; a self-printed electronic extract and a certified historical extract serve different needs.
Can I treat a missing result as proof of fraud?
No. Resolve the search inputs, entity type, record age and processing position first. An unresolved discrepancy may justify stopping the transaction, but a missing match alone does not establish fraud.
