Choose the correct online transaction
How to Apply for Hong Kong Business Registration Online
A route-first workflow for eligibility, authentication, submission evidence and result retrieval.
You can apply online for eligible Hong Kong business or branch registrations through the IRD service. A new local company uses the Registry’s simultaneous incorporation and business-registration route instead. Identify the business form and authorised applicant before preparing the online submission.
Key takeaways
- Check service eligibility before collecting login credentials.
- Use the authentication and company authority required for that transaction.
- Keep approved business particulars outside the browser session.
- Retain the reference, payment evidence and the actual result.
- Use the published correction route for a submitted error.
Identify which online application actually fits
First decide whether you are registering a sole proprietorship, a partnership, a branch or a company being incorporated. The IRD online business-registration service covers sole proprietorships, eligible partnerships and branches. Partnerships with more than six partners and limited partnership funds are outside that particular online service. The IRD internet-application FAQ sets out its current scope.
A new local company instead follows simultaneous company and business registration through the Companies Registry. The one-stop registration guidance connects the incorporation documents with IRBR1. The Hong Kong company formation requirements therefore matter before you choose an IRD screen intended for a different business form.
| Your task | Starting route | Avoid this mistake |
|---|---|---|
| New eligible sole proprietorship or partnership | IRD online business/branch registration service | Using the service to create a limited company |
| Branch of an existing business | Relevant online branch route if eligible | Ignoring the main BRC validity and user authority |
| New Hong Kong local company | Registry e-incorporation with simultaneous business registration | Submitting a second standalone new-business application |
| Case outside the online service conditions | The alternative route stated by the authority | Entering inaccurate particulars to force eligibility |
A company-incorporation application and an IRD business-registration application are different online transactions. Select the task from the official service description. A search advertisement or a provider’s form is not the government application itself.
Confirm the online route before starting
Tell us the business form, applicant and whether the task is incorporation, a new business or a branch.
Prepare the business data and the authorised sign-in
Collect the business name, activity description, address, actual commencement date and relevant owner or partner particulars before opening the application. The IRD application requirements distinguish the forms and supporting documents for each type. Review the requested particulars against the actual business rather than treating the application as a name-reservation exercise.
For the individual application route, the published authentication options include an Individual Tax Portal password, iAM Smart+ or a recognised personal digital certificate. For a company’s online branch application, the Business Tax Portal guidance and registration FAQ describe the Business Account and the authorised user’s business-registration role. An ordinary user login does not establish authority for every company transaction.
If an identity method is unavailable to an overseas applicant, check the stated eligibility and alternative submission route. Do not assume every non-resident can use every authentication option. Equally, a service provider should not ask the founder to make false residency statements to gain access.
For a partnership, prepare the other partners’ identity-document uploads where required. Use readable, current files and check the agreement on who is authorised to apply. Keep the approved business particulars in a separate record so a browser timeout does not become the only copy of the information.
Read about signing and authority for electronic filings when several people are involved. Sharing a password is not a sound substitute for the correct user role, valid authorisation and the required authentication method.
Complete, authenticate and pay for the selected application
- Open the relevant service through the official IRD business-registration pages or, for incorporation, the Registry e-Services Portal.
- Select the eligible business or branch type and enter the approved particulars. Use the genuine commencement date and correct business address.
- Attach the identity and other documents requested for that route. Check the files open and correspond to the people or entity identified.
- Review the completed application, declarations and certificate period with the person responsible for the business.
- Authenticate using an accepted method and the correct applicant or authorised-user role.
- Pay through an offered channel, then save the submission acknowledgement and payment record.
The IRD service currently supports several card schemes, FPS and PPS; PPS payment is not supported on mobile devices. Check the available channel on the actual payment screen. A payment-platform notification and the government application acknowledgement should be retained as separate pieces of evidence.
At the rates checked on 20 October 2026, the one-year business-registration charge for the applicable 2026/27 period is HKD 2,350 including levy; a three-year certificate is HKD 6,170. A one-year branch registration is HKD 230. These are different charges for different certificates, as shown in the IRD fee and levy table . A new local company also pays its applicable incorporation fee.
Choose the certificate duration and fee using the applicable charging rules. A first local-company BRC applied for through the Registry uses the incorporation-submission date for its charge; other cases have their own commencement basis. A late application can involve earlier periods rather than only the amount for a new current-period certificate.
For a standard new private share company, the Registry electronic incorporation FAQ describes its separate electronic workflow and normal one-hour certificate processing for straightforward applications. Do not transfer that service time to every IRD business or branch application.
Review the particulars before authentication
Resolve the business dates, ownership documents and user authority before authorising payment.
Save the transaction reference and retrieve the result
The IRD internet service shows an acknowledgement containing a Transaction Reference Number after submission and payment. Save the transaction reference before leaving the service. It is the link between the application, a later enquiry and the result-download process.
When the application result is available, the service sends an email notification. Sign in through the official route and use the result-view/download function under the business or branch registration service with the reference. The published window is two months from the notification email. Download the issued certificate or reply letter and retain the original file.
Read the result, not merely the email subject. A reply letter may require another action; a receipt confirms a transaction rather than all facts of the registration. Compare any issued certificate with the approved business information and payment period.
Create a small completion record containing the application date, reference, payer, result date, saved-file location and remaining actions. If an employee or adviser applied, have that person hand the record to the business’s responsible contact. An application should not become untraceable when a staff member leaves.
Recover a wrong detail, failed session or missing result
If the connection fails at payment or submission, preserve what you have and check the existing transaction status before paying again. Note the time, the service used and any reference or payment evidence. Avoid creating two applications because the first screen did not finish loading.
For a submitted IRD online application containing an error, the FAQ directs the applicant to send a signed written notice identifying the applicant, capacity, business, reference, any BRN and the amendment. It specifically says not to use another paper registration application form as the correction notice. Check the current contact route for the case.
If the problem is eligibility, return to the correct application route. A branch that commenced outside the permitted period of the main certificate may need paper submission; changing the genuine date to make the online screen accept it creates a different problem. Correct the transaction or use the permitted alternative ; keep the facts accurate.
A missed statutory deadline is not repaired by simply selecting today as commencement. Review the actual history and any earlier charges or follow-up required. Keep the registration issue separate from whether the person is permitted to work or establish the activity in Hong Kong.
Close the online application with a usable registration record
The online task is complete when the correct applicant has used the correct route, submission and payment are traceable, and the result has been downloaded and checked. If the authority requested a correction or further information, close that action too before calling the registration finished.
Save the certificate with the business’s ongoing records and plan its display and renewal as applicable. For company incorporation, reconcile it with the CI and the company’s other particulars. Keep the final file accessible to the people who will handle accounting, bank requests and future changes.
Recover a submitted case using its reference
Bring the acknowledgement, payment evidence and any reply so the next action can target the existing application.
Frequently asked questions
Does using an online form allow a business that has not started to register early?
For the ordinary sole-proprietor and partnership route, IRD does not accept applications for a business that has never existed or has yet to commence. Company incorporation follows its separate simultaneous-registration rules.
Should I send my login password to the person preparing the information?
Use appropriate authorisation and approved user roles. Preparing business particulars does not require another person to impersonate you or retain your authentication credentials.
What if the notification reaches an old email address?
Check the application record and official enquiry route promptly. Keep your access and contact information current so the result-download period is not lost while waiting for a message.
Can the result be treated as permission for a regulated activity?
Business registration has a distinct purpose. Check the relevant operating permission separately before undertaking an activity that requires it.
