Company formation and digital filing
How to Register a Business Online
Choose a route you can use, submit through the right authority, and distinguish incorporation from permission to operate.
To register a business online, confirm the entity and jurisdiction, check who can authenticate and file, enter the official registry service, review the application and payment, and retain the issued acceptance records. Then complete the tax and operating permissions that apply. Foreign founders may need a local resident role, an authorised identity route or a corporate service provider before an online filing can proceed.
The United Kingdom, Singapore and the United States illustrate three different access barriers. Use their examples to test your route; do not assume that a government portal accepts every non-resident, entity type or tax application.
Key takeaways
- Choose the legal transaction before choosing the digital service.
- Identity verification, local roles and authority to file can determine whether direct filing is available.
- Check the application, required confirmations and payee before authorising payment.
- Keep incorporation evidence separate from the EIN, other tax records and licences.
- Online incorporation does not itself grant immigration, work or operating permission.
Choose the legal filing before opening an account
First decide which legal outcome you need: forming a company, registering an individual business, recording a trading name, or registering an existing overseas entity. A website address or marketplace seller account does not answer that question. The examples here concern company formation in the United Kingdom and Singapore, with the United States illustrating a separate state-filing and federal-tax route.
Write a short filing specification: intended jurisdiction, entity type, actual operating locations, owners, proposed officers, and business activities. In the United States, the SBA’s business launch guidance explains that registration depends on structure and location, and that state filing methods vary. Do not treat a federal EIN application as the incorporation portal.
Select the jurisdiction for the business you intend to operate, then establish whether its digital route accepts your entity and filer. A form can be available online while your particular application still requires an authorised intermediary, an additional approval, or a different filing channel. Registering a new local subsidiary and registering a branch of an existing foreign company are different transactions.
HSJGlobal’s global company formation and registration services provide a starting point for discussing that jurisdiction and entity choice. Confirm the filing scope before authorising anyone to submit an application.
Confirm who can authenticate and file
An online application is usable only when the proposed filer has the required identity, authority and local arrangements. Remote ownership and direct access to a government filing account are separate questions. Settle both before collecting documents for an unsuitable route.
| Route | Access gate | If the gate is not met |
|---|---|---|
| UK private limited company | Verified director identities and the relevant Companies House personal codes. | Consider the official identity routes, including a Companies House authorised agent. |
| Singapore local company | Bizfile uses Singpass for individuals and Corppass for CSPs; local residency rules also apply. | Foreign founders should arrange the applicable CSP and local resident roles. |
| US formation plus EIN | State formation eligibility is separate from eligibility for the IRS online EIN tool. | Use the state’s accepted filing method and the appropriate IRS application channel. |
For the UK, Companies House identity guidance describes GOV.UK One Login and the Authorised Corporate Service Provider (ACSP) alternative, which can be used from any country. Successful verification produces a personal code belonging to the individual. It is different from a company registration number. Directors do not have to live in the UK, but the company must have a UK registered office, as the government’s director requirements explain.
In Singapore, ACRA’s eligibility guidance for foreigners requires a CSP and compliance with local residency requirements. A local company needs a director who meets those rules. If you plan to move to Singapore to run the business, assess the work-pass route separately. Possessing login credentials does not settle your immigration or employment permission.
For the US tax stage, the IRS online EIN eligibility rules require a domestically formed organisation, a principal place of business in the US or its territories, and the responsible party’s SSN or ITIN. The applicant must be the responsible party or an authorised representative. If the principal place of business is outside the US, use the IRS telephone, fax or mail route instead.
Enter the official service with a complete input set
Start with the registry’s own guidance and follow its filing link, rather than assuming a commercial intake form is the government application. The UK company registration page leads to the incorporation service. ACRA’s current local-company guide leads to Bizfile and identifies the required credentials, information and submission stages. These routes were checked on November 3, 2026.
Prepare a structured input sheet rather than a universal folder labelled “registration documents”. Use the correct legal names consistently, and establish which address belongs to the company, which belongs to an individual, and which may be publicly disclosed. An address used for official correspondence does not itself establish permission to operate a shop or other premises.
- Applicant and authority: confirm the named filer, each person who must verify identity, and the scope of any representative’s written authority. For an EIN submitted by a third-party designee, the IRS requires signed authorisation.
- UK company: settle the company particulars and people with significant control, and obtain each director’s personal code. Follow the service’s requirements for the company’s Government Gateway account; a personal Government Gateway ID is not interchangeable with it.
- Singapore company: prepare the approved name, Singapore registered office, officers, shareholders, share capital and constitution. Supply nominator and controller details where applicable; check exemptions rather than leaving these questions unanswered.
Keep supporting evidence tied to the field that needs it. An identity provider may require particular identification, while the registry may ask for corporate particulars or constitutional documents. Do not order translations, notarisation or legalisation for every file by default: first confirm whether the receiving authority requires them for your specific applicant and document.
Review authority, application and payee before payment
Submit only after the legal particulars, required approvals and payment purpose agree. The useful check is not whether the form looks finished; it is whether the registry will receive the intended entity application from an eligible, authorised filer.
- Match the transaction to the brief. Confirm entity type, jurisdiction and whether you are forming a new entity or registering an existing one. For Bizfile, match the reserved entity type.
- Reconcile the final preview. Check legal names, addresses, ownership, officer roles and constitutional choices against the agreed input sheet. Resolve discrepancies before the filing becomes an official record.
- Complete outstanding confirmations. ACRA’s workflow requires other position holders to endorse a direct application before the payment notification is issued; that endorsement step does not apply when a CSP files it.
- Identify the payee and purpose. Distinguish a registry payment from an intermediary’s invoice, an optional document order and a later compliance payment. If a provider collects money, obtain a scope showing what it will submit and what government charges it will pay.
- Keep the submitted version, acknowledgement and payment reference together. Record who must monitor messages and respond if the authority requests clarification.
The IRS does not charge to issue an EIN; a provider’s charge would be for its own assistance. For other filings, use the current amount shown by the relevant official service for your transaction. This guide does not supply a universal registration budget: government charges, professional assistance, local address arrangements and later licences have different scopes.
Treat submission, payment and approval as different milestones. Online access does not guarantee immediate acceptance. Preparation, identity checks, officer confirmations, referrals and correction requests can extend the overall plan beyond the registry’s routine processing stage. Do not promise a customer a trading date based solely on the day a form was uploaded.
Collect the issued records, not just the receipt
Formation is complete when the relevant authority accepts the filing and issues the applicable record. A payment receipt is not evidence that every approval needed to trade has been granted. Build a handover that distinguishes incorporation evidence from tax correspondence and operating permissions.
The UK registration guidance explains that the certificate of incorporation confirms legal existence and states the company number and formation date. The service usually sets up Corporation Tax at the same time, except for a dormant company or association. This does not demonstrate that every tax registration or tax-account access task is complete.
For Singapore, ACRA’s approval workflow provides an incorporation notice, UEN and Business Profile download link after approval. Save those official records and check the company particulars. Payment alone does not establish the outcome.
For the US, retain the state’s accepted formation record and the IRS EIN confirmation separately. The IRS EIN instructions tell online applicants to print the confirmation letter. Label the records by issuer and purpose so a bank, counterparty or internal team receives the correct document without mistaking a federal tax identifier for evidence of state formation.
Create a simple record index: issuing authority, entity name, identifier, issue date, document location and responsible person. Store access arrangements securely and make sure the company can obtain its own records after any provider handover. If the issued particulars differ from the approved application, ask the relevant authority or authorised filer how to correct them before reusing the document.
Check operating permissions after incorporation
An online incorporation route creates or records the entity; it does not by itself grant a visa, a right to work, every tax registration, or an activity licence. Review the intended activity, operating location, premises, products and people before starting regulated operations.
- Tax and employment: identify the registrations, accounts and reporting responsibilities that apply to the actual business. A formation number or EIN does not establish that all obligations have been met.
- Activity and premises: ask which sector regulator and local authority control the intended work and site. Food preparation, building work or a regulated professional service may involve approvals beyond the corporate registry.
- Products and trade: assess import, export and product rules where the business will handle goods; an online shop’s incorporation document is not product approval.
- People and presence: check any professional credentials and immigration or work permission for the individuals who will perform the work. Overseas ownership does not establish permission to relocate.
The SBA’s launch guidance separates formation, tax IDs and licences, including state and local requirements. ACRA’s comparison of Singapore business structures also identifies continuing company tasks such as appointments, registers and annual returns. Use these as distinct workstreams with named owners, rather than assuming the filing portal completes the entire launch.
For the operating documents you receive, HSJGlobal’s guide to verifying a business licence and approval document explains the next checks on issuer, holder and permitted activity. Match the permission to the actual business and location; a valid certificate for a different entity or activity does not answer your requirement.
Decide whether to file, appoint support or pause
Proceed when the filing target, identity route, authorised submitter and required local arrangements are settled. Appoint suitable support when a mandatory CSP, authorised identity agent or local role is needed. Pause when any of those conditions remains unresolved; paying for a submission does not cure ineligibility.
Use this final handover before authorising the filing:
- Route: name the jurisdiction, entity type, official service and person submitting.
- Authority: record whose identity is verified, whose approval is outstanding, and what an intermediary may do.
- Evidence: specify which acceptance record and identifiers the company must receive, alongside the filed version and receipt.
- Launch: allocate outstanding tax, licensing, premises and people checks, with the applicable authority for each.
- Continuity: assign responsibility for official notices, changes, annual filings and any permit renewal dates.
For example, a foreign founder planning a Singapore company should settle the CSP and local director route before treating Bizfile as a self-service task. A founder with a US entity and an overseas principal business location should plan the applicable EIN channel separately. In both cases, the next useful action is to remove the specific access or authority barrier, then track acceptance and operating permissions as separate outcomes.
Frequently asked questions
Does an online business need a different kind of company?
Selling online is a business activity or sales channel, not a universal legal entity type. Choose the structure and jurisdiction for the actual business, then check the registrations and permissions for its products, people and operating locations.
Can a formation provider replace the founder’s identity checks?
Do not assume so. A UK authorised agent can perform identity verification through the official ACSP route, but the individual’s identity must still be verified. Confirm what the provider is authorised to do and which personal actions remain.
Should I buy a company name and a domain together?
Treat them as separate decisions. The SBA distinguishes entity names, trading names, trademarks and domain names. Securing a website address does not itself register the entity or establish trademark rights.
Can I use the same number for the company and its tax accounts?
Use the identifier requested by the receiving authority. A company registration number or UEN identifies the registered entity in its own system; an EIN serves US federal tax purposes. Keep a labelled record of each identifier and its issuer.
What should I request when someone files on my behalf?
Request the agreed scope, submitted version, official acknowledgement, payment evidence and final issued records, plus responsibility for authority messages. Confirm how the company will obtain and maintain access to its official records after the engagement ends.
