Business identity checks

UEN Singapore: Business Identification and Verification

Match the claimed entity to official records, then identify the evidence still needed for your transaction.

When a Singapore business supplies a UEN, use it to identify the registered entity and compare its legal name, status and address through Bizfile. A matching number establishes an identity link; it does not prove that your contact may sign a contract or direct a payment. Check the claimed party first, then resolve any difference between the official record and the documents you received.

Key takeaways

  • A registered entity can have a UEN without being an ACRA-incorporated company; check the entity type and relevant issuing agency.
  • Search the full identifier before relying on a familiar name, because related businesses may use similar branding.
  • A registry lookup tests the entity record; trustBar addresses the authenticity of specified ACRA documents.
  • An unexplained mismatch needs a specific evidence request and a named person responsible for resolving it.
  • Close the identity check with a dated result, then retain separate questions about authority and the proposed transaction.

Read the UEN as an entity identifier

A Unique Entity Number identifies a registered entity in Singapore. Corppass explains UEN issuance as part of official entity registration by designated government agencies, including ACRA, the Registry of Societies and the Ministry of Manpower. ACRA is therefore an important issuer, rather than the issuer for every organisation that has a UEN.

The identifier is useful because business names, brands and group relationships can be confusing. The UEN identifies the entity; it does not establish the authority of everyone using its name. A number printed on a quotation is a claim you can test against an independent record. Its appearance alone cannot tell you who sent the quotation.

For a new local company, the underlying company registration process in Singapore creates the entity record that later applications and contracts should use. Searching that record is a verification task; it does not register another company. Keep the identifier distinct from the documents that describe or certify the company.

Organise a new company’s identity records

HSJGlobal can help assemble the company documents included in your agreed setup scope, so the legal name and UEN are ready for subsequent applications.

Fix the claimed entity before searching

Collect the full UEN and claimed legal name from the document you are being asked to rely on. Record the intended action: paying an invoice, signing a contract, completing a supplier record or supplying your own company details. The evidence needed depends on that action.

Identify the actual contracting party before searching a familiar brand. A parent and its subsidiary may trade under a shared brand while appearing as different registered entities. Write down which entity will owe the obligation and which name appears as the payment beneficiary. An unexplained difference needs an answer even if both entities exist.

Prepare a small comparison record with four fields: claimed UEN, claimed legal name, document date and proposed transaction. Leave space for the registry result and check date. This keeps entity identity separate from the wider question of whether the transaction should proceed. The two evidence streams must agree before you close the identity check.

Reconcile the UEN claim before relying on it Compare the official entity record with transaction documents. Resolve an identity mismatch; if identity matches, continue to separate authority checks. Claimed name and UEN Official entity record Name, UEN, status Transaction documents Party, invoice, beneficiary Identity mismatch? Hold and reconcile Identity matched Check authority separately Yes No
The reconciliation tests the claimed entity against two records. A match closes the identity question while leaving transaction authority to be checked.

Run the Bizfile lookup against the claim

Use the official ACRA Bizfile portal and start with the supplied UEN. The former UEN website currently redirects to Bizfile. ACRA’s entity search instructions support the following lookup route, checked on 21 October 2026:

  1. Select the Entity tab and enter the complete UEN or entity name.
  2. Choose “UEN (including previous UEN)” under the keyword match filter when searching by number, then apply the filters.
  3. Open “More information” for the matching result and compare the legal name, status and registered address with the claimed party.
  4. Save the result and check date with the transaction documents; record any discrepancy rather than silently editing your own records.

If a name search returns several results, narrow it using exact-name or starting-name filters. For a non-ACRA organisation, select its issuance agency where needed. Bizfile’s search also covers specified non-ACRA entities, such as societies and charities. A failed first search is therefore a reason to check the query and entity category, rather than immediately conclude that the number is fabricated.

Authenticate the document separately

A registry match and an authentic supplied document answer different questions. If the other party sends a Business Profile, verify its origin as well as comparing its contents. ACRA’s verification guidance directs Business Profiles and incorporation or registration certificates to trustBar; other information products use the specified authentication route. Use the route for the actual product you received.

Where more detail is needed, ACRA lists a Business Profile at S$5.50 per purchase, checked on 21 October 2026. Its Business Profile purchase instructions permit guest checkout and state that incorrect purchases are not refundable. Confirm the entity before adding the report to the cart, provide the delivery email, pay and download the product; the listed processing time is within 15 minutes. A receipt records the purchase, rather than the contents of the report.

The practical distinction is between authentic origin and current relevance . An authentic older report may predate a change in the entity’s particulars. Compare it with a fresh lookup and obtain a newer record when the difference matters. The separate process for retrieving and interpreting the Business Profile helps when the recipient needs the report itself rather than a basic identity search.

Keep the original file, the verification result and the search date together. If a supplied screenshot omits the UEN or document date, ask for the underlying record. Cropped text gives you less to reconcile and cannot substitute for the missing evidence.

Clarify a conflicting company document

Share the conflicting fields and the purpose of the document. HSJGlobal can help identify which company record needs attention and what remains outside that record.

Turn discrepancies into specific evidence requests

Use the matrix to decide what evidence would actually close a discrepancy. These are practical transaction controls, rather than additional ACRA registration conditions. ACRA’s basic risk guidance recommends checking live status, the address and the people involved; it also recommends establishing a contact’s actual role when that person is not listed in the profile.

UEN discrepancy-to-action matrix
Observed result What it establishes Next evidence Transaction response
Same UEN; different legal name A naming discrepancy remains. Current profile and evidence explaining the name used. Correct the document or document the relationship before reliance.
Different UEN; familiar group name The claim points to another entity. Identify the contracting party and explain any different beneficiary. Hold the affected commitment until the parties and payment basis are clear.
Record has non-live status A record exists, but present trading status needs explanation. Current status and relevant supporting documents. Escalate before treating the entity as an active supplier.
No matching result The first lookup has not established identity. Recheck each character, name and issuance-agency filter. Keep identity unresolved; seek confirmation from the relevant agency if necessary.
Entity matches; contact’s role unclear The entity check is complete only for identity. Role confirmation and transaction-specific signing or payment authority. Keep the authority question open before accepting instructions.

For example, a matching invoice UEN does not explain why payment has been requested to an unrelated beneficiary. Ask the business through an independently established contact channel to explain the arrangement and provide authority evidence. A group relationship may explain a difference, but the explanation must cover the actual obligation and payment instruction.

A “live” result should not become a general approval stamp. ACRA’s trustworthiness guidance points to additional checks, including watchlists and adverse reporting. Decide how much further evidence the proposed exposure requires. An identity lookup alone cannot establish financial strength, performance or permission for every advertised activity.

Close the UEN check with a bounded decision

Close a UEN check only when the claimed party and authoritative record reconcile. Write the result narrowly: name and UEN matched, status checked on a specified date, and identified discrepancies resolved or assigned for review. Keep the supporting record so another person can understand the basis for that result.

Then identify what the next decision still needs. A contract may require signing authority; a changed beneficiary may require verified payment instructions. If an unexplained entity mismatch remains, hold the affected action and give one person responsibility for obtaining the missing evidence. A useful completed check states both the established identity and the limit of what was verified.

Frequently asked questions

Is a UEN the same as an individual’s NRIC?

No. CPF Board distinguishes the identifiers : a UEN identifies a registered entity, while an NRIC identifies a Singapore citizen or permanent resident. Use the identifier requested for the entity or person concerned.

Can a company obtain another UEN by buying a Business Profile?

No. A Business Profile purchase retrieves information about the selected registered entity. It is not a new entity registration or a request to replace its identifier.

Does an old UEN mean the business cannot be found?

Not necessarily. Bizfile’s UEN search filter includes previous UENs. Preserve the number exactly as supplied and use that filter before treating an older document as untraceable.

Can a struck-off entity still have a Business Profile?

Yes. ACRA’s purchase guidance says profiles are available for non-live entities, with limited information. The availability of a report therefore does not establish that the entity currently has live status.

How recent must a UEN check be?

Choose the timing for the decision and the recipient’s requirements; the lookup is a dated observation. Repeat it when a material discrepancy or changed instruction makes the earlier result insufficient. This is a practical review approach, rather than a universal validity period.
